3. AI Console Data
When you use AI features, AIVendorX may process prompts, invoice text or images, supplier records, product history, purchase order history, payment queue information, and analytics signals to generate recommendations, drafts, summaries, and review queues. 5. Payments and Billing Data
Stripe or another payment provider may process subscription checkout, customer portal, payment method, invoice, and billing information. AIVendorX may receive payment status, customer identifiers, subscription identifiers, price identifiers, billing events, and related metadata, but hosted payment providers are responsible for handling sensitive card or bank details submitted through their secure flows.
6. Service Providers
We may share information with vendors that help us operate AIVendorX, such as hosting, database, authentication, storage, analytics, AI processing, email, payment, monitoring, and support providers. These providers are expected to process information only as needed to provide services to AIVendorX.

8. Data Retention
We retain information for as long as needed to provide AIVendorX, maintain records, resolve disputes, enforce agreements, meet legal obligations, support backups, and improve security. Retention periods may vary depending on the type of data, customer configuration, legal requirements, and operational needs.
9. Security
We use technical, administrative, and organizational safeguards designed to protect information. No system is perfectly secure. Customers are responsible for managing user access, choosing strong credentials, reviewing roles, and ensuring that uploaded supplier, invoice, and payment data is appropriate for their workspace.
10. Your Choices
Depending on your relationship with AIVendorX and applicable law, you may request access, correction, deletion, export, or restriction of certain information. Organization administrators may also manage users, roles, and workspace data from within the service.
